Artificial Intelligence for Small Business: A Practical Cyber Security Checklist

Artificial intelligence can help a small business write, search, classify, forecast and automate work. It can also expose customer information, create incorrect outputs or open a new path into business systems when access and data rules are unclear.

Start with the data, not the tool

Before approving an AI service, list what the team wants to share with it. Customer records, health information, financial details, passwords, private contracts and confidential pricing should not be pasted into a public tool without a clear business reason and an approved protection process.

Seven practical checks

  1. Define approved use. Write down which AI tools and business tasks are allowed.
  2. Classify information. Separate public, internal, confidential and sensitive data.
  3. Check the vendor. Confirm where data is stored, who can access it, how it is retained and whether it is used to train models.
  4. Limit permissions. Give AI-connected apps only the access they need, with separate accounts and strong authentication.
  5. Keep a human review. Staff should check customer-facing text, decisions, financial outputs and safety-related recommendations before use.
  6. Protect connected systems. Review browser extensions, CRM integrations, cloud drives, API keys and automation steps that can move data.
  7. Prepare for an incident. Record what the tool can access, how to revoke it, who investigates a problem and how affected customers are handled.

Make the checklist part of normal work

Review AI use when a new service is introduced, a staff member changes role or an integration is connected. Keep a simple register with the tool owner, purpose, data types, permissions, supplier contact and review date. Test a sample workflow with safe information before it touches live records.

AI security does not require a large enterprise programme. It requires clear boundaries, sensible permissions, staff guidance, reliable updates and someone responsible for checking that the controls still work.
