Cloud-based AI can improve customer service, document handling, website content and routine administration without the cost of building a model from scratch. The same convenience can create privacy and cyber security problems if a business connects sensitive information before deciding what the tool is allowed to see and do.
Start with the workflow, not the product
Write down the business task, the information involved, the people who need access and the outcome that a person must approve. A narrow workflow is easier to test than a general instruction to “use AI across the business”.
Seven practical controls
- Classify the data. Separate public, internal, confidential and personal information. Do not paste customer, staff, financial or health information into a tool until its handling has been reviewed.
- Approve the service. Keep a short register of approved AI tools, their owners, permitted uses, retention settings and supplier contacts.
- Limit access. Use individual accounts, strong authentication, least privilege and separate administrator access. Review connected applications regularly.
- Check the vendor. Ask where data is processed, how it is stored, whether it is used for training, how incidents are reported and how data can be exported or deleted.
- Keep human review. Require a person to check customer-facing content, sensitive summaries and decisions that could materially affect someone.
- Log and test. Record important prompts, approvals, changes and failures. Test for unreliable or manipulated outputs before expanding the workflow.
- Plan the exit. Know how to disable access, recover business records and continue the task manually if the service changes, fails or is compromised.
A sensible first pilot
Choose a low-risk task such as drafting an internal meeting summary from non-sensitive notes. Use synthetic or de-identified data, define a reviewer, measure errors and document what the tool accessed. Only expand when the controls work in practice.
